Group Check - Setup From Start to Finish!

**NOTE: This section is specifically designed for moderators of new ReUseIt groups. If you have an existing group of any affiliation, feel free to use this Group Check instruction as a reference for your own page settings, starting with the Overview. Instructions for Affiliate Groups may be found here.


Creating your group from Scratch

This section will give you instructions on how to Start A Group utilizing Yahoo Groups.

1. Log into yahoogroups (http://groups.yahoo.com/)
2. If you don't have a yahoo ID, create one (http://www.yahoo.com/)
3. Click on Start A Group (http://groups.yahoo.com/start)

Step 1 of 3: Select a Yahoo! Groups Category

This takes you to the page where you choose a category to place your group into. The most fitting category is recycling. Type "recycling" into the box. Click GO. This will bring up a list of applicable categories for your group.

This appears below the Search Group Categories box:

You can either click on the first link that shows up on the top of the list or scroll down and click on one that is more local or representative to your area. Once you've clicked on your choice, click PLACE MY GROUP HERE.


Step 2 of 3: Describe Your Group


Group Name - This name will appear on your Group page and in search results

Typically ReUseIt groups have been named the City, then the State abbreviation then, ReUseIt (type ReUseIt with the R, U and I in caps). So for instance you could put SanDiegoCaReUseIt in the Group name Box.

Enter Your Group Email Address - This address is usually the same as your Group Name

Copy and paste your Group Name into this box.

Describe Your Group

For now you can put Recycling into the box as your group description. Step by step instructions to add your group description will be introduced further down in this document. Get through the main steps to complete the Start A Group procedure.


Step 3 of 3: Select your Yahoo! Profile and Email Address

1. Select the email address you want to use to receive group email.
2. Select the profile you want to use for your Yahoo ID.
3. Type in the Word Verification
4. Click continue

As long as you've completed the profile and typed the correct word for verification, the next screen up is:

Congratulations!

Your Group SanDiegoCaReUseIt (for example) has been created. You can access your group using the link below or from the Yahoo! Groups "My Groups" page.

You can either Customize Your Group or click on your Group home page link to complete your group setup.


Putting it all together

Here is where it gets all put together for you, in a (hopefully) easy to read, step by step walk through. If you have a group that is already created, maybe you can glean some additional ideas and/or information for future reference. This section is particularly helpful for further navigating through Yahoo, which can be both a challenge and a headache. Items in CAP LETTERS are subject headers, while items in BOLD are either links you click on to navigate through the various web pages required to make changes or reminder instructions to make changes to the instructions.

I. Front Page Description - example using (Broomfield, Colorado ReUseIt Front Page or Boulder, Colorado ReUseIt Front Page)

The following section uses the Broomfield, Colorado ReUseIt as an example site. Substitute any information applicable to your ReUseIt group in place of Broomfield information.

Your front page should have a description and logo button (or ReUseIt logo photo). Start at the main page of your ReUseIt group and click through the following:

Description (edit) > Description (edit). Alternate method: Starting from the main page click Management. Under Group Settings click Description & Appearance then Description (edit).

1. In the TITLE field, add your CITY, STATE ReUseIt.
2. In the DESCRIPTION field, cut and paste the following information from the box, making appropriate changes to reflect your ReUseIt group. This description appears on the front page of your ReUseIt Group. The basic descriptor should have the logo button and/or photo. Your choice of HTML can be used in this field and cannot exceed 2000 characters.

3. In RELATED LINK field, type http://www.reuseitnetwork.org to associate with the ReUseIt home page.
4. The PRIMARY LANGUAGE is English (applies to English speaking groups).
5. The LISTING TYPE should be clicked to read "Listed in Yahoo! Groups directory".
6. Click SAVE CHANGES and you will be returned to the previous screen.
7. To change the site colors, under COLORS AND PHOTO next to your current site color click COLOR (edit) and make the necessary changes. SAVE CHANGES to lock in your selection.
8. You may add one of the following photos to your group. RIGHT CLICK your mouse button and SAVE PICTURE AS a JPEG to your local computer.

9. To add a photo to your main page, click Photos (edit). Browse to the location of your saved photo and click the Upload button. SAVE CHANGES when you are finished.

**NOTE** The ReUseItNetwork doesn't require linked groups to adopt the ReUseIt name; however, prior to being listed with The ReUseIt Network, all groups, including Affiliate Groups, must add and agree to maintain a clickable link to the ReUseIt Homepage on their main page, preferably in logo form.

II. Management - Group Settings (Web Tools)

This section sets preferences on member access to upload files and photos, add links to the links folder, and view member lists, etc. The following are recommended settings and can vary from group to group. Click the appropriate radio buttons and don't forget to SAVE CHANGES. Depending on how strict you want to be, or if you have troublesome issues or members, changes can be made accordingly.

From any page, click on Management > under GROUP SETTINGS click Web Tools > Web Tools (edit)

1. FILES/PHOTOS > Members (or Limited if your group is having issues with the majority of posters uploading questionable files). You can further restrict the membership uploading photos by having to approve all photo submissions. **Click the check box if Moderators are to approve all photo submissions**
2 . LINKS > Members (or Limited if your group is having issues with posters uploading questionable links)
3 . DATABASE > Limited or Moderators Only - depending on the data entered into the database, restricting this file is preferable for moderators keeping an active database
4 . POLLS > Limited
5 . MEMBERS > Moderators Only or Off - this disallows members from viewing other members and moderators on the group and/or harvesting the email list for spamming purposes
6 . CALENDAR > Limited
7 . PROMOTE > Members

SAVE CHANGES when you are finished. That completes this section!


III. Management - Group Settings (Membership)

This section changes management options for new membership, email address display for posted messages through email and the welcome message for new members.

From any page click Management > under GROUP SETTINGS click Membership > Membership Type and Welcome Message (edit)

1. MEMBERSHIP TYPE can be either Open or Restricted. Open allows all members to immediately join. Restricted allows members to join only after moderator approval.
2. EMAIL ADDRESS DISPLAY box is NOT CHECKED.
3. The WELCOME MESSAGE can be customized to your group. Add a greeting to let your members know they have joined your group and/or provide information regarding contact info, etc. A few examples are provided below for comparison. Make sure if you copy and paste, you change the information to reflect your particular group.

IV. Management - Group Settings (Messages)

From any page, click on MANAGEMENT (from the main page) and then under GROUP SETTINGS click Messages.

From any page click Management > under GROUP SETTINGS click Messages > Membership Type and Welcome Message (edit)

1. The EMAIL ADDRESS is automatically set when the group is created. Do NOT make changes.
2. The SUBJECT TAG AND FOOTER is attached to all outgoing mail messages sent to the group whether they originate from the group page or via e-mail. Click SUBJECT TAG AND FOOTER (edit) to make changes:

SUBJECT TAG identifies the name of your group. You can put [ ] around the group name to keep it neat, i.e.

[BroomfieldReUseIt].

The FOOTER is placed at the end of every message sent to the group. Some examples follow. Straight text is used with a maximum of 2000 characters. Some cut and paste examples follow. Be sure to replace information pertinent to your site.

3. POSTING AND ARCHIVES (edit) sets up responses to emails, group moderation, and both attachment and archive options. The following settings are standard for most ReUseIt groups.

WHO CAN POST - Members
REPLY-TO - Sender
MODERATION - New Members
ATTACHMENTS - Remove
ARCHIVE OPTIONS - Members (can be edited for moderators only, though archives are read only for everyone)

Don't forget to SAVE CHANGES. You are almost finished!

SCHEDULED MESSAGES lists your files that are automatically sent to members using time intervals. You can add, edit, or delete these files and their options by accessing the Files which is discussed in the following section V.

Click Files to enter the Files section so you can properly inform your membership of the guidelines, in addition to saying hello to new members and getting feedback from leaving members.


V. Files - Adding, Editing and Deleting

From any page click Files. This section allows you to edit existing files, add new files, and/or delete old files.

To edit an existing file, click Edit under the sub-heading ACTIONS.

1. Under FILE ATTRIBUTES, edit the File Name and the appropriate Description as applicable
2. AUTO-SEND TO MEMBERS will vary depending on what type of file you have. Some files can be sent on a monthly recurring basis while other files are sent on a one time only basis, such as new membership or leaving the group. Edit the File Content accordingly. This is straight text only. Do not use HTML or PDF formats in this section as these files go directly to the members. Not all members have PDF or .DOC capabilities to open and read emails received.
3. SAVE CHANGES to complete this process.

To ADD a file, click on Create Text File. Create Text File allows you to add text from Word or Notepad or you can simply type in your message. FILE CONTENT can be edited once the file has been saved. The AUTO-SEND TO MEMBERS can be added to each newly created file depending on the type of file and how often you want to send them. In addition to that, new files have the option of having a NOTIFICATION sent to the group using the check box at the bottom of the page. Don't forget to SAVE CHANGES or CREATE FILE depending on how you are editing/making your new file.

The following files and suggested auto-send settings are provided for reference. These are the standard files that are usually added to a site when it's created. Examples are shown through accompanying links! Files marked with an *** are highly recommended!

VI. Establishing A Backup CO-owner

*** IT IS HIGHLY ENCOURAGED THAT YOU HAVE A BACKUP CO-OWNER. A backup Co-owner is highly recommended in the event that an owner goes missing or otherwise abandons the group either on purpose or due to a profile glitch. We suggest having someone not living in your own household locally be a co-owner or a family member or friend! For all the hard work you put into your group, don't take the chance of having your group abandoned due to a profile inadvertently deleted or something unexpected happening to you! Take precautions to ensure that your group remains up and running!
